How do my emails, text messages, notes and blackout dates display on the calendar?
Emails, text messages and notes have a color-coded system that makes it easy to see and use every day.
- Sent emails & text messages are green
- Scheduled emails & text messages are purple
- Draft emails are gray
- For Notes, the user has the ability to select between multiple colors for a note
- Blackout dates are black
Can I see other delivery channels on my calendar?
Yes, users can also see if an email has been or will be cross-posted to any additional notification channels like Microsoft Teams, Sharepoint or Slack.
What will I have explicit access to view on the calendar?
As a user, you can see all emails but you can only see the specific details for emails that you have access to; you can see all text messages, calendar notes and blackout dates, including the details for each.
Why can I only see the details for certain emails?
Sharing & privacy settings are applicable to email so your calendar will take into account your organization's sharing and privacy settings for email, to ensure sensitive communications stay private even in the calendar view. Users can see placeholders for emails that they don't have access to, giving users a full view of planned and sent communications, but ensures that privacy is maintained. For users with access, they'll see full details of the email and can navigate directly to the email to continue editing or view email analytics.
Can I limit what other users see when it comes to text messages, calendar notes and blackout dates?
Sharing & privacy settings are not applicable to text message, calendar notes or blackout dates therefore, any user within your organization can see a note or text message on the communications calendar.
- For a note: The information you can provide on a note is title & description so as author of the note, you have the flexibility on what information should be shared with others.

For an email that has been shared with a user, the user can see the following email details from the calendar view:
- email thumbnail
- email owner and associated email address
- campaign associated with the email (if applicable)
- send time details
- total recipients, including distribution list names
- additional delivery channels
- navigation link to the email
- If an email will be cross-posted to another delivery channel (MS Teams, Sharepoint, Slack, etc.)
A user that does not have access to an email will see the following details:
- email owner and associated email address

For a text message, a user can see the following message details from the calendar view:

For a blackout date, a user can see the following message details from the calendar view:

Can any user edit or delete a note on the calendar?
Only the author of a note can edit or delete that note.
Can any user edit or delete a blackout date on the calendar?
Only Admin users can create, edit or delete a blackout date. Any admin user can edit or delete a blackout date even if they are not the creator of the blackout date.
