Yes! You have the ability to do these in two ways - create your draft email and schedule it for a future date OR utilize our notes feature for that content that you are not ready to schedule.

What is a note?
Notes, on your communication calendar, help communicate important dates or events to everyone, ensuring no one misses out. A note can be used for various reasons:
- Planned content
- Blackout dates
- Events and activities within the organization
- Holidays
- Topic reminders
And the options don't stop there! Notes allow you to plan the activities that your team needs within your Workshop communications calendar.
How do I create a note?
Navigate to your Workshop communications calendar
Hover over the start day for your upcoming activity on the calendar and you will notice the addition of a + button in the top right corner for that date. Click on the + button and you will be presented an Add note modal.
Within the Add note modal, you have the ability to provide the following content in relation to your note:
- Color: This will color code your notes on the calendar. We recommend using a certain color for the 'type' of note you are communicating to allow others on your team to quickly understand the planned activities on the upcoming calendar without having to dive into the details.
- Start / end date: You have the ability to set your note to be for one day or span across multiple days! For a note to be on just one day, the start & end date will be the same date.
- Title: This is what will display on the calendar for others to quickly understand what the note is in reference to
- Description: A user can view the description once they click into a note. This is a great way to provide additional notes / context to help others understand the context of the note. You have the ability to simply add text in this description but you also can add links! We also recommend linking out to other resources where there may be additional context or if you have already started a Workshop email for the planned communication, you can link to that draft email.
Who can see my notes?
Every user within your Workshop team will be able to see your notes.
If you want to include sensitive content within your note, we recommend linking out to it via your note so only those that should have access can view that content through the external link.
What will others see when viewing a note on the calendar?
From the initial calendar view, a user can only see the title of a note. To see more details, a user must click into a note to get the following details:
- Description
- Owner
- Created / updated date
Who can edit or delete a note?
Only the owner of the note has the ability to edit or delete that note.
To do so, you'll click into the note and from the popover, you can click 'Edit note'.
With in the Edit note modal, you can edit & save or delete the note.
