How do I grant users access to an SMS phone number?
In Workshop, you can control which SMS phone numbers a user has access to. This determines which numbers they can send messages from and which inboxes they can view.
To grant access to a phone number:
- Go to Manage > Users
- Click on the individual user you want to manage
- Select Assign Permissions in the three dot menu
- Underneath Limited Access, toggle “Can they send text messages?” to ON
- This enables text messaging access for the user and allows you to configure further settings.
- Under “Which number(s) can they send from?”, check the box next to each phone number you want them to access
- This controls both sending permissions and inbox visibility for that number.
- (Optional) Choose who the user can send texts to by selecting “Everyone” or “Only some” under “Who can they send texts to?”
- Click Save to apply the changes
Keep in mind:
- Users can only view and send messages from the numbers they’ve been granted access to.
- If a user is not given access to a number, they won’t see its messages or replies in the inbox.
- This is especially useful for managing sensitive content (e.g., HR or executive messages).
