Workshop gives you the flexibility to control who has access to files & images in your media library, via private folders. With Workshop's sharing and privacy features, you decide who has access to a folder.
What Content Can You Control?
By default, all uploaded images & files in your media library are accessible by every user within your Workshop account. Through private folders, you can restrict certain assets to only be accessible by certain Workshop users.
When restricting access to a folder, you can do so by sharing with:
- Specific individuals
- User groups: Share with entire departments or teams for easier collaboration.
When Should You Limit Access?
Consider restricting access, via a private folder, if the content:
- contains sensitive information that needs limited visibility.
- is not relevant to everyone, helping to keep workspaces clean and focused.
How to Restrict Access
Within the media library, all uploads & folders are accessible by all Workshop users, by default. Access can only be restricted on a parent folder. Once access is restricted on a parent folder, any nested folders or assets within the parent folder will be restricted as well.
Create a parent folder within your media library
Within the 3dot menu on your parent folder, click into Manage access
Manage access will present the sharing & privacy modal.
- Share your folder with the additional user(s) or group(s) that you want to have specific access to that folder
- Change general access from All Company to Restricted
FAQs
What occurs if I restrict access on a folder I do not own?
If you should still have access to that folder, we recommend sharing that folder with yourself before restricting access. If you have not shared the folder with yourself, you will be notified that by restricting access - you will also lose access to that folder.
Can I restrict access specifically on a folder nested within a folder?
Right now, restricting access can only occur at the parent folder level.
Can I restrict access specifically on an image or file within my media library?
Today, you cannot restrict access at the individual image or file level. We recommend that you move your image or file into a folder and restrict access to the folder.
