Setting a user's access level
When you add a new user via Manage > Users > Add User , you can immediately determine their level of access:
- Admin — Full control of the Workshop subscription, including all features, assigning permissions and groups, scheduling blackout dates, and managing lists, integrations, and company settings.
- Full access — Everyday power-user access to all features, except subscription billing, user permissions, and settings.
- Limited access — A custom, need-to-know setup. You choose exactly which features and attributes this user can see in Workshop.
Attribute permissions can be set when creating a new user or editing a user with limited access.
Choosing an attribute access level
If you select Limited access, you'll also define which attributes that user can see. There are three modes to choose from:
- All attributes — The user sees every attribute in the directory. Nothing is held back, and there's no list to configure.
- All attributes except — Full access minus whatever you check off. This is useful for hiding a small number of sensitive fields (for example, birthday) while leaving everything else open.
- Only some — Locked down by default. The user sees only the attributes you explicitly check.
Every mode shares the same search box and an “attributes selected” counter, so you can find fields by name and confirm your picks before saving.
With All attributes selected, the user has access to every attribute — no further setup needed.
With All attributes except selected, search for and check the specific attributes you want to hide from this user.
With Only some selected, search for and check the specific attributes you want this user to have access to. Workshop shows a running count (for example, 1/164 attributes selected) so you can confirm your picks.
Other limited access settings
Beyond attribute access, Limited access users can also be scoped in a few other ways:
- Lists & groups — Let this user create and edit lists, and create or own user groups. Group owners can edit, delete, transfer ownership, and manage sharing.
- Sending permissions — Choose who this user can email or text: Everyone, Everyone except, or Only some. You can also choose which phone number(s) they're allowed to send from.
- Ghostwriting — Let this user send on someone else's behalf, scoped to specific email addresses only.
- Draft-only guardrails — Turn off publishing for journeys or pages so new teammates can build without going live.
Heads up: Attribute visibility in shared lists
When you share lists, keep in mind that users without access to certain attributes might still catch a glimpse of them in preview mode. Double-check the attributes you're sharing to keep your data private and under control — only show what's needed to your intended audience.
