What is a template?
A template is a reusable email or page design that you can pull into the editor whenever you're ready to create something new. Templates save you from rebuilding the same layout every time — start from a template, update the content, and you're ready to go.
You can build your own templates, use templates shared with you by others in your organization, or start from Workshop's built-in template library.
Locating your templates
To access templates:
- Select Manage in the top navigation.
- Select Templates from the dropdown.
From here, you'll see three places to find templates:
- My templates — Templates you've created.
- Shared with me — Templates that others have shared with you. This is where others can view templates you have shared with them.
- Template library — A collection of templates built by Workshop that you can use as a starting point for your own designs.
Cloning a template
If you'd like to reuse an existing template as the starting point for something new, you can clone it. Cloning creates a copy that you can edit without affecting the original.
To clone a template:
- Hover over the template you'd like to clone.
-
Select Clone.
- Enter a new template name. By default, this uses the original template's name with "Clone" added — you can edit it as needed.
- Optionally, expand Share access to share the cloned template with other users or groups.
- Select Clone to save the copy as a draft, or Clone & edit to open it directly in the editor.
Creating a new template
To build a brand new template:
- From the Templates page, select Create template in the upper right corner.
- This opens the editor, where you can build your template using the Build panel to drag and drop content, or the Styles panel to adjust design.
- Alternatively, use the AI agent to generate a template for you. Enter a prompt describing what you'd like to create, or select the plus icon to attach a file or photo of an existing template you'd like to recreate — for example, an old email or a design saved elsewhere.
Attaching a file or photo, or adding a reference, for the AI agent to use when generating your template.
- Once you've attached a file, prompt the AI agent to recreate it as a new template.
- Select Save & exit when you're ready.
Tip: The AI agent can also work from a written prompt alone, so you don't need an existing file to get started.
Creating a template from an email
If you have a regular or automated email you'd like to turn into a reusable template, you can create a template directly from that email.
To create a template from an email:
- From your email index page, hover over the email you'd like to use.
- Select the 3-dot menu.
-
Select Template from email
- Choose the email type — Regular or Automated.
- Enter a new template name. By default, this uses the original email's name with "Clone" added.
- Optionally, expand Share access to share the new template with other users or groups.
- Select Create to save the template as a draft, or Create & edit to open it directly in the editor.
The Create template from email window, where you can choose the email type and name your new template.
Publishing a template
Once your template looks the way you want it, publish it so it's available to pull into the editor going forward.
To publish a template:
- From within the editor, select Publish template in the upper right corner.
- Optionally, expand Share access to share the template with individuals or groups, or to set general access.
- Select Publish template to confirm.
The Publish template window, where you can review and set share access before publishing.
A confirmation message appears once your template has been successfully published.
Deleting a template
If you no longer need a template, you can delete it from your Templates page.
To delete a template:
- Hover over the template you'd like to delete.
- Select Delete.
Hovering over a template reveals options to Edit, Clone, Share, or Delete.
- Confirm by selecting Delete in the pop-up.
A confirmation window appears before your template is permanently deleted.
Note: Deleting a template cannot be undone. If you may need the design again later, consider cloning it instead.
