What is real-time collaboration?
Real-time collaboration lets you and other Workshop users work in the same email or template at the same time. Everyone with access can see edits as they happen, so there's no need to pass a file back and forth or worry about overwriting someone else's work.
Sharing an email or template
To collaborate with someone, you'll first need to share the email or template with them.
- Locate the email or template you want to collaborate on from your email index page.
- Select the 3-dot menu next to the email.
- Select Share.
- In the Grant access window, type a name or group name to invite people or groups to collaborate.
- Optional: Change General access from Restricted to Your organization to share the email with everyone who has access to your Workshop account.
- Select Done.
Note: Sharing an email or template only grants access to that item. It does not grant access to any journey or campaign it's associated with — those have their own sharing settings.
Seeing who else is collaborating
Once an email or template is shared, you'll be able to see who else is working in it with you in real time.
- An avatar for each active collaborator appears in the upper right corner of the editor, next to Actions and Review & send.
- As a collaborator makes edits, their cursor appears in a distinct color along with their name, highlighting the row they're actively working on.
Viewing version history
Every edit made to an email is automatically saved, so you can review past versions or undo a change at any time.
- Within the email editor, locate the clock icon at the bottom of your screen.
- Select the icon to open the Version History panel.
- Review the list of edits, including when each was made and who made it.
- Select Preview next to any version to see what the email looked like at that point in time.
- If you want to revert to that version, select Restore.
Tip: Restoring a previous version is useful if you've accidentally made edits to the wrong content, or if a collaborator made changes that weren't needed at that time.
