What are text message response notifications?
Text message response notifications let you know by email when someone replies to a text sent from one of your SMS inboxes, even when you’re not logged in to Workshop. This helps you respond quickly to time-sensitive or sensitive replies.
Notifications are sent to the email address on your user profile and are specific to your own account. Each user controls their own settings.
Who receives notifications?
Only users that have access to send text messages can receive these response notifications.
With this notification enabled, users are notified about replies to texts sent from the inboxes they have access to.
This notification is turned on by default for all SMS users, with a daily summary selected as the frequency. A user can change either setting at any time.
Managing this notification
This notification can be found within your user profile.
- Select your profile photo in the top right corner of Workshop and open your profile.
- Within the provided notifications, if you have text sending permissions, you will see a Text message responses notification.
- Use the toggle to turn notifications on or off.
- Within the How often should you be notified? dropdown select the frequency of this notification.
| Option | What you’ll receive | Best for |
|---|---|---|
| Daily summary (default) | One email each morning, only when there are new replies from the previous day | Most users and general conversations |
| Hourly summary | One email per hour, only when there are new replies in that hour | Active inboxes that need a faster response |
| Every response | One email each time someone replies | Time-sensitive or sensitive conversations |
Your change is saved automatically, and it applies to future notifications.
When the toggle is off, you won’t receive any emails about text replies. You can still view all replies in your SMS inbox.
Tip: If you manage an inbox that receives a lot of replies, start with a daily or hourly summary. Choose “Every response” only when you need to react to each message right away. Otherwise your inbox may fill up quickly.
What each notification email looks like
Reminder: For daily & hourly summaries, users will not receive a notification if no incoming replies have come in within the prior time period.
A summary email shows how many new text replies you received in the inboxes you’re assigned to. Select Open SMS inbox to read and respond to the replies in Workshop.
Per-response emails
A per-response email tells you who replied and when, and includes a preview of the message. Select Reply in Workshop to open the conversation and respond.
