Email summary
To check email analytics, go to the Email tab in Workshop, select any sent email, and dive into the details.
The email summary includes essential info like subject, author, and recipients. It is also where you can access the shareable web link. Need to see the email as it was sent? Hover over the thumbnail and click View email
Under ACTIONS in the top right corner, you can share, export a report, generate a QR code, clone the email, or create a new template from it.
Email deliverability
While an email is being sent to the intended recipients, you can view in-app deliverability analytics directly on the email details page. This gives you clear confirmation of whether your message was accepted by recipient mail systems—and helps you quickly identify and resolve delivery issues without relying on external logs or support tickets.
Note: You can’t open your Workshop email details page while the email is in a status of Sending. Workshop only makes the email viewable once it moves to Sent.
Within the delivery summary, you will see the following delivery statuses for each send:
Sending
Workshop is sending your email and waiting for delivery confirmation from the recipient email server.Delivered
The email was successfully accepted by the recipient’s email server and delivered.Rejected
The recipient’s email server rejected the message. This typically indicates a configuration or address issue that requires follow-up.
How to investigate rejected emails
If any emails are rejected, you can dig deeper from the Recipients tab:
Open the email details page for the send.
Navigate to the Recipients tab.
Review the new Status column to see which recipients were marked as Rejected.

Use this information to take targeted action, such as:
Fixing invalid or outdated email addresses
Coordinating allowlisting with your IT team
Reviewing authentication or DNS settings
Resending the message to a specific subset of recipients

These analytics will show up on emails sent after Nov 26, 2025.
Engagement overview
This section breaks down how people interact with your email. Adjust the time period in the top left corner to see trends over time.
- Open Rate – % of recipients who opened the email (counts unique opens only)
- Click Rate – % of recipients who clicked a link (counts unique clicks only)
- Click-Through Rate – % of recipients who both opened and clicked a link
- Total Opens – every open event (includes multiple opens per person)
- Total Clicks – every recorded click (includes multiple clicks per person)
Time read
This is especially useful for tracking engagement with critical announcements or newsletters. Find out how long recipients are actually engaging with your email:
- Read (8+ seconds)
- Skimmed (3-8 seconds)
- Glanced (Less than 3 seconds)

Engagement timeline
See when your email gets the most action. This timeline helps pinpoint the best times to send messages based on open and click rates.
Opens & Clicks – Logged by hour, based on your account’s timezone.
Devices
Find out where your audience is reading emails (desktop, mobile, tablet) to optimize your design for the most-used platform.

Web visits
If your plan includes integrations (Slack, SMS, SharePoint, Teams), Workshop tracks where recipients are finding your email. Use this data to refine your multi-channel strategy.
Clicks
Track total clicks across all links in the email. This helps gauge how far readers are scrolling and what content grabs the most attention.
- Unique Clicks – The number of unique recipients who clicked a link at least once. Even if they click multiple times, they are only counted once.
- Total Clicks – The total number of times a link, button, or tracked element was clicked, including multiple clicks from the same recipient.
- Repeat Clicks – The number of times a recipient clicks a link beyond their first click. Calculated as Total Clicks minus Unique Clicks.
This table is sortable by Total clicks. Workshop defaults it to quickly show you your highest engaged link within the email. Sort the Total by lowest engagement to see those links that didn't get the engagement you may have been expecting.
Click on any URL in the Clicks section to open a panel displaying a list of recipients who clicked the link and how many times they clicked. This gives insight into which employees are most engaged and which content is driving the most interaction.
Click map
Dive further into engagement data on your clicks by navigating to the OPEN CLICK MAP button in the top right corner of your clicks table. The click map will provide you a visual overlay on top of your sent email where you can see engagement per link in relation to where that link lived in your email.
From the click map, you can also view the following analytics:
- Click rate (total # of recipients that clicked a link / all recipients of the email)
- Clicks per unique open (total # of recipients that clicked a link / all unique opens of the email)
- Per link, you can also percentage of total clicks attributed to that specific link
Click into a specific link within your Click Map and you will get the following data for that specific link:
- Total clicks: % of total clicks attributed to that specific link
- Unique clicks: % of unique clicks attributed to that specific link
- Specific recipients that clicked the link plus, how many times they clicked the link
Recipients
Use the Recipients tab to understand what happened for each person—both engagement (opens and clicks) and deliverability (whether the email was accepted by their mail system).
What you’ll find
Total opens and clicks per recipient so you can see who’s engaging most with your content.
Delivery status per recipient, so you can quickly pinpoint recipients marked Rejected and take targeted action
Per recipient, you can click into their row and see which links they have specifically clicked on. Want to drive deeper into a specific recipient's engagement, this is a great way to do so!
Surveys
If you included a pulse survey in your email, navigate to the Surveys tab within the sent email to gather each specific survey's results. Depending on settings, you can view:
- Total responses
- Rating & response rate
- Average result
- Comments (if enabled)
- Anonymous responses & comments
If you have more than one survey within your email, you can easily toggle to switch between the result of each:
Apply filters to these analytics
Want deeper insights? Filter data by any distribution list synced to Workshop or created manually. This lets you track engagement for specific teams or groups.
Click Filter next to the Analyze tab, select a list, and save. This updates all analytics to reflect only that group.
Apply a filter and date range at the top of the analytics section. This selection will apply across all analytics views and will also be retained when exporting data.
You can also filter analytics in the Surveys and Recipients tabs.
Export your analytics
From the Analyze tab, you can click on the Export button and export the analytics data across the entire email in a PDF or CSV format.
Per various areas across your email analytics, you can export just those specific analytics:
- Recipients that clicked on a specific link
- Surveys
- Recipients
With these insights, you can refine your email strategy and improve communication across your organization!
